New Employee Information

Initial Employee Paperwork Procedures

To complete your employment paperwork you will need to bring your original documents from the acceptable documents list.  To schedule an appointment contact:

  • Acceptable documents
  • W-4 Employee Withholding Certificate
  • ACA Variable Hourly Employee Notice
  • Payroll Direct Deposit
To avoid compromising your identity, do not email these forms.

Get your A# and password set up

You will receive an A#. You will need to set up your password, referred to as your strong password. This will provide you with the tools you need to set up your email and sign into software programs for training, timekeeping, and more.

You will be assigned an email address in this format: a#@usu.edu. Employees will also receive an email alias of firstname.lastname@usu.edu which will be the preferred email listed on your account. As per policy 557, you are required to use the USU email services exclusively when conducting university business in your employee role. 

The university also uses a two-factor authentication in conjunction with your A# and strong password that you will need to set up. You can learn more about setting up Duo. Assistance is available from your immediate supervisor or any of these other sources:

The USU Service portal is called Service Now

Using you’re A# and strong password, you can log into Service Now. There are tutorials in the program that can help you.

Human Resources Department

The USU HR webpage has many resources for you. Locate the “new employee” tab at the top, which provides important first steps and links to new employee packets and slides for a new employee orientation. You will also see information on benefits, purchasing a parking pass, and needed trainings. The USU Policy Library can also be a valuable resource in answering questions and understanding how the university functions.
